bf.documents facilitates the storage, retrieval, and the collaborative creation of documents. Group development of research papers, legal documents, policies and procedures, graphics, source code, or any other electronic file is made more efficient with bf.documents.

Work as a team
- Tree structured document repository, with Explorer-like Interface: An expandable/retractable folder and file list on the left, with folder or file details on the right.
- Fully web based: Access from any desktop that has Internet access to the server.
- Alerts and Automation tool -- DocWatches(TM): DocWatches allow you to tell the system you would like notified when the state of a particular document changes. Other options of a DocWatch include the option to attach the document to your notification, the option to receive a page or text message, and the option to automatically check-out the document in your name the next time it is available.
- Workflow and Approval Process Tool -- DocFlow(TM): DocFlow allows a document owner or administrator to establish an order/process in which users will receive a document for editing and/or approval. After the first person checks the document back in, the system will automatically check the document out in the next person’s name and email it to them. The next person simply edits the document and checks it back in – At which time, the system will again automatically check the document out in the next person’s name, and email it to them. All the while, other users can be receiving notifications of each document state change.
- Save and Apply DocFlows(TM) to Folders and Documents: Once a DocFlow is saved, it can be applied to individual documents, or to a folder, causing all documents added to that folder to automatically enter the DocFlow.
- User-Based Permissions: Read/Write/Delete permissions can be established on each folder, to allow/restrict any user.
- Group-Based Permissions: Read/Write/Delete permissions can be established on each folder, to allow/restrict any group of users.
- "Internal" and "External" Users: System can (optionally) distinguish between users flagged as "internal" and users flagged as "external." The system can ensure that external users do not see folders, documents, and other resources to which they do not have permission, and can also ensure that external users do not see evidence of other external users -- other than in group spaces (bf.collaboration) to which they are granted permission.
- Image thumbnails: bf.documents detects when a stored document is an image, and presents a thumbnail for quick viewing, without the need to "get" (download) the file.
- Document Reports: The administrator console provides document reports, and an area to create custom reports.

- Associated discussion forums: Each document receives a unique discussion forum available from within the document information page.

Document History and Version Control
- Check-out, Check-in: Prevent multiple people from editing a document the same time with the commonly used check-out, check-in protocol.
- Version Control: As your documents change, bf.documents tracks each version.
- Custom version numbering: Many organizations already have an established version numbering scheme. Bf.documents allows you to keep this version numbering scheme.
- Revision History: A single screen that shows the entire history of the document, and allows users to view details of, and/or download any previous version of the document.
- Rollback: Revert back to previous versions of a document.
- “Soft” deletes: When a document is deleted, an administrator can always retrieve it – Protecting your documents from inadvertent deletion.
Search Capabilities
- Full-text search capability: Search for folder/file names, or the content of the documents in your repository, for words or phrases. Bf.documents can search the text in almost any document, including Adobe Acrobat (.PDF) files.
- Variant and fuzzy search: Optionally, bf.documents can search for words that are variants of the word(s) supplied. For instance, bf.documents can return results containing the word “parties” when you search for “party”
- Advanced search: Optionally, bf.documents provides an array of advanced searching features such as complex Boolean searches (“document AND collaboration”, “(file OR document) AND collaboration”, etc.), search of only particular file types, search current directory or current directory and subdirectories, option to return results with all keywords, or at least one of the keywords, and more.
Installation, Configuration, and Administration
- Automated setup: Setup wizard takes you through the installation process. Note that additional web server configurations may be necessary.
- Document Import Wizard: A new tool allows you to point to folders on your network, and import documents and subdirectories with the click of a button -- Reducing a tedious task that used to take hours or days, to minutes.
- LDAP/Active Directory Authentication (optional): Use your already established LDAP/Active Directory Service to populate and/or authenticate users within bf.documents.
- Administrator console: A provided administrator console allows authenticated administrator to change/update virtually any state within bf.documents including document status, permission, and discussion forum messages.
- Store your documents anywhere: You tell bf.documents where you want your documents stored and managed -- On the web server, the database server, your file server, or anywhere else. It's up to you.
- Option to use SQL Server DB: Originally built on SQL Server, bf.documents can work with this simple, yet industry-strength database.
- Option to use MS Access DB: For those organizations that must keep costs to a minimum, bf.documents can work, without modification, with MS Access. Note that this option would not be recommended for systems containing more than 100 users, or 50,000 documents.
- Option to use other ODBC compliant databases: Since bf.documents uses ODBC for database connections, it can be used with any database providing an ODBC compliant driver – Such as the popular databases Oracle and MySQL.
